Here's how the process of Exco Application goes. You are required to download the application form from the link below, fill up all details (please remember to include a photo), and hand it up to me, personally on Wednesday, 5th May latest. Note that incomplete forms or late submission will not be entertained. We will review all application forms and schedule you for interview. The interview schedule will be out by 12 May 2010.

Here's the job scope of each position.
Executive Committee
•Always be a good role model in the ensemble
•Be 20mins early for practices to prepare, set up and handle any administrative work
•Always think of the welfare of the ensemble, speak up for the ensemble
•Maintain a united front and where there are disagreements with TIC’s or instructors, always speak or communicate with them privately and not in front of the entire ensemble
•Always be on-task, meet deadlines and take initiative
•Be committed, always strive to lead well & inspire the ensemble to learn and grow as musicians
•Always seek new ideas, identify areas of improvement in the ensemble consistently
•Always pick out mistakes the ensemble make & ensure that the ensemble achieves a high standard (discipline, playing etc)
•Be responsible
•Build a sense of authority & leadership (being respected by your members)
•Always maintain a positive attitude towards running the ensemble
President
•Overall in charge of the committee and the ensemble
•To head planning for all events
•To draw up a work plan for the next 13 months in office
•Chair committee meetings, delegate tasks to committee members, ensure that the committee is always achieving high quality work and are good role models.
•To identify areas of concern and to solve administrative, logistical and social problems in consultation with teachers and instructors where necessary
•Disseminate information and updates from instructor or teachers
•Develop a culture where important values and upheld (Respect, Discipline, Punctuality, Enthusiasm, Dedication, Perseverance, Passion)
•To be liaison between the ensemble, the teachers and instructor
•To be a firm, compassionate, reasonable and understanding leader
•To realize the potential in every committee member
•Always ensure that the ensemble bonds well and that no one is left out
•Ensure that practices, performances etc. goes well
•Groom new leaders along the way
•To be one of the best players in the ensemble
•Ensure a proper handover to the next batch of leaders
•List expectations to the ensemble right at the beginning of each your term
Vice President
•Same roles and responsibility as the president
•To look into members welfare issues
•Share the work load evenly with the President
•Takes charge when President is absent
•Handle monetary matters (checking statement of accounts and transactions regularly)
•Monitor attendance of the ensemble
•Ensure that rooms are cleared after practice
•Take charge of CCA Webpage on tpjc.net
Student Conductor
•Assist the instructor and conducts practice whenever instructor is not around
•In-charge of the progress of all sectional leaders
•To sit in auditions and to provide feedback to instructor
•Be critical with ensemble playing; give comments to ensemble on how they can further improve (eg. Do not rush at bars 20-21)
•Feedback to instructor after you have conducted a practice
•Review on what you have done with the ensemble, check if it is effective. If it is not effective, approach instructor for more ideas/approach.
•Always be one of the best players in the ensemble
•Conduct warm ups like scale practice, RH strumming exercises and LH exercises
•Train up assistant student conductors in conducting warm ups
•Need to identify and recommend students who have potential for music leadership
•Conduct at performances when the conductor is not present
•Be passionate about music and conducting
•Form and supervise the chamber groups, trios, duets, quartets
•Responsible for planning music repertoire for the year with section leaders and instructor
Concert Master
•Design seating arrangement
•To ensure that sectionals are conducted effectively and efficiently
•Supervise all sectional leaders and feedback to instructor on the musical standard of the ensemble
•Responsible for every detail of any performance (mics, stage crew, seating, lighting)
•Oversees the combo band, and arrange for opportunities for combo band to perform
•Does attire check for concert or any performances
Treasurer
•To maintain and monitor the ensemble fund, petty cash and all monetary matters
•To ensure that the funds are properly used for appropriate purposes
•To collect funds when they are due on a regular basis ($1 to $2 per month)
•Provide a half-yearly statement of accounts and transactions to the committee, instructor and teachers
•Take note of ensemble member’s punctuality, collect fines from those who are always late
Secretary
•To take minutes for every meeting in a standard format
•To distribute the minutes of meeting before the next meeting
•To monitor the attendance of ensemble members
•To bring to the attention of the teachers, instructor and the committee about people with frequent absenteeism
•Collect MCs/parents’ letter from members and file it in, also check validity
•Take note of ensemble member’s punctuality, collect fines from those who are always late
Quarter Masters (2)
•To take care of all property of the guitar ensemble
•To ensure that instruments are properly labeled and issued
•Let teachers/instructor know immediately if any equipment is damaged and requires repair
•To ensure that the store room and guitar room are neat
•Ensure that all members place their instruments in the correct slots
•Let teachers/instructor know if there is any shortage of equipments
•Issue warning to anyone who fails to take care of the instrument or misplace it and withdraw instrument from student if necessary
•Ensure that members are allocated guitars
•Ensure that there are sufficient supplies of spare guitar strings at all times
•Ensure that members know how to take care of their instrument
•To instruct new members when doing an annual string changing session
•To supervise regular and frequent cleaning of instruments
•To print out a checklist each time the ensemble has to bring instruments and equipment out of the school for performances
•To make sure that all equipment is accounted for during external performances
•To remind members of their responsibility to help in the logistic needs [especially music stands] (you are NOT expected to be the only persons moving equipment and instruments)
Librarian
•Responsible for photocopying parts
•Responsible for preparing scores for new pieces
•Ensure that all members have one copy of what they need
•To archive the Library
•Ensure that borrowed materials are returned when the due date is reached
Publicity Officers (2)
•In charge of publicity events (CCA orientation, concerts and performances)
•In charge of arranging Community Involvement Projects for the ensemble
•To be responsible for a half yearly / yearly newsletter and all the necessary details associated with the development of a newsletter.
•In charge of guitar ensemble notice board (constantly update it with announcements)
•In charge of printing of guitar t-shirt/hoodie and ordering of guitar file
•In charge of bonding the ensemble, organise events to bond everyone
Sectional Leaders
• Must be one of the good players in the ensemble and ahead of your members
• Takes initiative to conduct and lead in sectionals
• Ensure that your section is doing well and is able to play what is required
• Provides feedback to instructor, student conductor on section progress
• Motivate section members to play well
• Ensure that your section is good in playing as well as technical development
• Point out your section’s weaknesses and strength
• Work with your section on every single detail of a piece
• Distributes scores to section members, keep scores for the absentees
• Take charge of section tuner and stands, ensure that equipments are brought back to the store room after practice and that section room is cleared
• Maintain good discipline in your section (remind them to use supports)
Remember like I've said, it's time to step out of your comfort zone people, challenge yourself, try leading people, and as I've said, the people elected are the ones who will lead your entire batch to our 1st in next year's competition again, and your GWH for SYF. :) Stress hur, but no, I'm not trying to stress you out, but my point is, you REALLY want people who are absolutely good role models and leaders to bring the ensemble to greater heights.
Also, be bold and think of what you are really capable of, go ahead and apply. Don't be shy and try to be humble, a leader should be certain of his/her capabilities as to whether he/she can take up the position.
